Job Description

Administrative Services is led by the National Administrative Services Leader who oversees the extended leadership team for Executive Assistants/Team Assistants, Administrative Support Concierge (ASC), myAdminConcierge (mAC), Dual Support Specialists (DSS), Office Services, Document Production, Meeting and Events, and Project Management. In the U.S. Markets, the Market Administrative Leader oversees the Executive Assistants, Team Assistants, Office Services, and Meeting and Event teams. The Business Support Team is a shared services group that provides administrative support to the assigned local market.

Position/Program Requirements

Basic Qualifications: Must be able to demonstrate Microsoft Office Suite (Word, Excel PowerPoint) proficiency levels consistent with the firm's standards. Minimum Year(s) of Experience: 1 Minimum Degree Required: High School Diploma or GED Degree Preferred: Associate's degree or Bachelor's degree Knowledge Preferred: Demonstrates some proven knowledge of, and/or success in roles performing in shared services administrative groups involving, proactively anticipating and providing of shared services administrative business support to assigned local markets within a global network of professional services firms, emphasizing the following areas:

  • Monitoring key performance metrics within the BST and reporting findings back to the EA/TAM;

  • Conducting quality reviews in accordance with outlined processes and metrics identifying and addressing TA skill gaps in conjunction with EA/TAM;

  • Researching and responding to all escalated inquiries regarding customer deliverables and quality;

  • Monitoring consistently team to proactively identifying potential problems, discusses with the EA/TAM and applies resolutions;

  • Assigning and monitoring work flow to balance workload among team members, allowing work to be completed by the TA with the appropriate skill set and capacity;

  • Recommending BST working hours and suggesting staggered hours to promote appropriate coverage of BST Team;

  • Overseeing work in progress for timely completion of requests;

  • Anticipating change and effectively communicating to all team members;

  • Developing sound relationships with customers to help resolve any issues;

  • Troubleshooting, prioritizing and making decisions related to workflow and escalations based on factual information;

  • Handling multiple competing tasks, prioritizing work, communicating and helping resolve potential conflicts;

  • Promoting actively the business of the BST and selling the Administrative Services brand to the customers; and,

  • Displaying professional communication in interactions with internal and external customers.
